Zoho DataPrep implementation — UK

Preparing data is not simply removing empty cells. Different systems use different identifiers, formats and meanings, and a transformation that looks correct can still change the business interpretation of a record.

Overview

FI Digital builds preparation workflows around agreed data rules and destination requirements. The scope includes profiling, transformation, validation and repeatable refresh, with exceptions made visible to the people who own the information.

01

What the engagement covers

01

Source profiling

Review structure, missing values, duplicates and inconsistent formats using approved sample data.

02

Transformation rules

Define mappings, joins and standardisation with the business owner. Keep source data traceable.

03

Quality and exceptions

Separate accepted records from unresolved cases. Record why a rule failed rather than silently discarding data.

04

Repeatable delivery

Test refresh schedules, destination loads and reconciliation. Document ownership and the handling of upstream changes.

02

A practical example

A hypothetical customer dataset contains the same company under several spellings. A preparation workflow can identify candidate matches, but merging records requires an agreed identity rule. The business owner should be able to inspect the evidence and correct an inappropriate match.

03

Relevant group delivery experience

Relevant group experience includes high-level daily ETL work for Motilal Oswal through Fristine Infotech, loading financial-transaction information into the organisation’s customer-360 systems. No transaction volume, platform-specific architecture or quantified business improvement is claimed here. The implementation details remain confidential.

04

Questions that shape the scope

Use these questions to identify the first decision and the information needed to make it.

  • What defines the same entity?
  • Which transformations are approved?
  • Where do rejected records go?
  • How is each load reconciled?
05

Make the UK operating requirements explicit

Separate the UK organisation’s requirements from any wider group template. Identify the legal entity, business owner, connected accounts and the people authorised to accept the result. If the workflow relies on financial or employment rules, your qualified advisers should confirm the applicable settings and obligations; software configuration alone does not establish compliance.

06

From assessment to an accepted result

01

Map the business workflow

Agree roles, records, permissions and exceptions before changing the application. Confirm the product edition and connected accounts.

02

Configure and connect

Build the agreed fields, approvals and interfaces. Load a representative data sample before committing to a wider migration.

03

Test with the people who use it

Run ordinary and exception scenarios, reconcile records and confirm the training required for each role.

04

Release and hand over

Agree cutover, fallback and acceptance. Document administration, support and ownership of the connected workflow.

07

Control cost around the work that matters

Use native configuration and supported integrations where they meet the requirement. A custom script or extension should solve an identifiable gap, not recreate a function the platform already provides. Faster configuration tools can reduce some setup effort, but they do not decide record ownership, resolve contradictory requirements or accept a migrated dataset. Compare proposals using the same workflow, edition, interfaces, training and support assumptions. Ask what your team will still need to administer after launch. A smaller first phase can control initial spend while retaining the testing and coordination needed to make the result useful in daily operations.

08

What your team should receive at handover

The handover should include the agreed configuration, field and role definitions, connected-account ownership and instructions for recurring administration. Record the migration checks, accepted exceptions and training given to each user group. Where an integration is involved, document how to identify a failure and who can correct it. The team should be able to explain the operating workflow after launch without depending on the original implementer for every routine action.

09

Scope and responsibilities

Software configuration and integration are scoped separately from professional advice, product subscriptions and any ongoing processing or managed service. Confirm the applicable edition and the delivery responsibilities before purchase.

FAQ

Frequently asked questions

001Can DataPrep fix duplicate CRM records automatically?

It can support preparation and matching workflows, but an automated merge should follow an approved identity rule and a controlled write process. Some similar records represent different people or businesses. Review uncertain matches, retain the original source and test reversibility before allowing a preparation result to change production records.

002How does this differ from a full data engineering project?

A DataPrep engagement focuses on supported preparation workflows within the chosen product. A broader engineering project may require custom ingestion, orchestration, platform design and operational monitoring across several systems. Start with the source, volume, refresh and reliability requirements to decide which level of engineering is appropriate.

003Can you work with our existing Zoho environment?

Start with a review of the current configuration, users, integrations and unresolved issues. A working environment should not be rebuilt simply to follow a new template. The scope should identify what to retain, what to correct and how to test the changes, with suitable safeguards for records and processes that people already rely on.

004Are software licences included in implementation?

Software subscriptions and implementation are separate commercial questions unless the proposal explicitly combines them. Confirm the required edition, user model, regional availability and third-party charges before purchase. The implementation estimate should describe configuration, migration, integration, testing and handover, so you can compare total operating cost rather than only the initial setup fee.

005Can information be migrated from our current system?

Migration depends on the quality, availability and structure of the source information and the destination product’s supported interfaces. Agree field mapping, identifiers, historical scope, attachments and reconciliation before loading data. Test a representative sample first, then define the final cutover and correction process. A successful import alone does not establish that the records are usable.

006How will the implementation be tested?

Use business scenarios that include ordinary work, exceptions, different user permissions and integration failures. The responsible business users should accept the results against agreed criteria. For migrated information, reconcile key records and totals as appropriate. Keep a record of unresolved issues and confirm the fallback before changing the process that staff use every day.

007What happens after launch?

Agree the support arrangement, training and operational responsibilities before release. Your team should know who manages users, investigates failures, approves configuration changes and maintains connected accounts. Any ongoing support hours, response targets or managed service must be stated in the agreement; they should not be inferred from the fact that implementation assistance was provided.

008How do we scope the first phase?

Choose a complete business workflow with a clear owner and an observable outcome. Identify the applications and teams it depends on, then separate essential requirements from later improvements. This makes the estimate more useful and gives the first release a practical acceptance point. Expand only after the initial process is stable and people can operate it.
