Smart Route Planner: see what one changed visit does to the whole day
A field-sales day rarely follows the first plan. A meeting runs late, traffic changes and the next customer is no longer reachable at the original time. Smart Route Planner is designed as a Zoho CRM-based visit-planning tool that helps teams review those consequences before committing to a revised schedule.
The value is a more understandable plan for the day's work, using the accounts and visits the team needs to manage. It is not a promise that every journey will follow the predicted timing.
Build the day from the visits that matter
Start with the accounts, locations and available time. Smart Route Planner builds a proposed route from CRM information and considering traffic on each leg. Confirm current mapping coverage, location quality and integration requirements during the walkthrough.
A route is only as useful as its inputs. Incorrect addresses, unclear visit duration and unavailable customers can undermine an otherwise sensible sequence. Keep the difference between a planned visit and a confirmed appointment visible in the operating process.

Make the UK operating requirements explicit
Separate the UK organisation’s requirements from any wider group template. Identify the legal entity, business owner, connected accounts and the people authorised to accept the result. If the workflow relies on financial or employment rules, your qualified advisers should confirm the applicable settings and obligations; software configuration alone does not establish compliance.
Confirm the current local product offer, supported version and commercial terms with FI Digital before planning production use. The group product description does not imply identical availability, hosting or support arrangements in every market.
Review the effect of a delay
The intended workflow can show how a longer meeting affects later stops, including revised times or moving a visit to another day. That makes the trade-off visible to the person responsible for the schedule. The representative should review customer commitments before accepting a change.
Test an ordinary delay and an awkward one: a customer with a fixed appointment, an unreliable location or a day with too much work already planned. Useful planning should expose an unrealistic schedule rather than make it appear achievable through optimistic estimates.
Keep CRM ownership clear
Confirm which records the product reads and which actions it can write in the current version. Define who may plan, revise and record visits. The route tool should support the existing account and activity process without creating a second, conflicting schedule that nobody maintains.
Traffic information and location services have provider dependencies. Review coverage, usage charges and information handling before deployment. Do not assume the same accuracy or functionality across every city, device and connection condition.
Evaluate a representative working day
Use approved test accounts or non-sensitive locations for a first walkthrough. Compare planning effort, clarity of changes and completed visits with your current process. Review the impact on customers and representatives as well as route length.

Frequently asked questions
001Does Smart Route Planner guarantee the fastest route?
No route or arrival prediction should be treated as a guarantee. Results depend on addresses, traffic information, visit duration and changing conditions. Evaluate the current product using representative days and review the proposed sequence. The useful outcome is a plan that supports decisions, with its assumptions and limitations understood by the person travelling.
002Does it work with existing Zoho CRM accounts?
The intended integration plans visits from Zoho CRM account information. Confirm the current integration, required fields, permissions and record types in a walkthrough. Test address quality and account ownership before rollout. A successful connection does not establish that every custom field, activity process or location in your CRM is immediately suitable for route planning.
003What happens when a meeting runs over time?
The intended workflow shows the effect on later stops and can propose revised timing or moving a visit. Confirm the current behaviour and required user confirmation. The representative must consider customer commitments before accepting a change. A recalculated route should not silently reschedule a confirmed appointment or imply that the customer has agreed.
004Can it use live traffic information?
Traffic-aware planning is part of the intended workflow. Validate the current provider, geographic coverage, update behaviour and related charges for your deployment. Traffic predictions are still uncertain, and connectivity can affect availability. Test the regions and working conditions relevant to your team instead of assuming equivalent performance across every location or time of day.
005Is this a replacement for a complete field-service system?
This page describes visit and route planning for the supported CRM workflow. It does not establish broader scheduling, dispatch, inventory or service-management capabilities. Compare your complete requirement with the current product scope. A route-planning demonstration should not be interpreted as evidence that every field-sales or field-service process is covered.
006Can managers plan routes for several representatives?
Bring multi-user planning, visibility and permission requirements to the walkthrough and confirm current support. Do not infer team-wide scheduling from a single-user demonstration. Test who may view or alter another person's plan, how changes are communicated and how account ownership remains aligned with your existing CRM process.
007How should location information be handled?
Review what locations are accessed, which services process them, who can view them and how long related information is retained. Keep the purpose clear and obtain the required organisational approvals before rollout. A planning requirement does not automatically justify continuous tracking, and this page does not claim that such tracking is part of the product.
008What should a pilot measure?
Use representative visit days and compare planning effort, missed commitments, clarity of replanning and the quality of activity records. Include delays and poor address data. Avoid promising a fixed fuel saving or productivity uplift before measurement. The pilot should establish whether the workflow helps your particular team manage its field commitments.
